Privacy policy

Draft for review by counsel before launch. Last updated October 13, 2026.

Spot Check is operated by Seriva Health LLC ("Spot Check", "we" or "us") and provides pet travel paperwork coordination at spotcheck.pet and through the Spot Check connector for Claude, ChatGPT and other AI assistants. This policy describes the information we collect, how we use and share it, and how you can have it corrected or deleted. Send questions to hello@spotcheck.pet.

Information you give us

When you order on our website, we collect your name, email address and mobile phone number; your pet's name, species, breed, weight and birth date; its microchip number and the dates of its microchip, rabies vaccinations and rabies blood tests; your veterinary clinic's name, phone number, email address and USDA accreditation status; your destination, arrival date, departure airport, flight and travel method; and anything you write in the notes field, which may include health information about your pet.

Information from AI assistants

When you ask an AI assistant to plan a trip with Spot Check, the assistant sends our planning tools the destination, the species, your arrival date and any microchip, vaccination, blood test or birth dates you shared. Planning requests carry no name or contact details, and we do not store them.

When you ask the assistant to place an order, it also sends your name and email address and, if you gave them, your phone number, your pet's name, your vet clinic, the number of additional pets and any notes. We store that order. The company that runs the assistant, such as Anthropic or OpenAI, handles your conversation under its own privacy policy. We receive only what the assistant sends to our tools.

Information collected automatically

Our hosting provider, Cloudflare, processes your IP address, browser type and the pages you request in order to deliver the site and protect it from abuse. Our server logs record basic details of each request for up to seven days. Our pages load fonts from Google Fonts, which receives your IP address when your browser downloads them. We do not use cookies, analytics or advertising trackers.

Use of your information

We use your information to build your pet's travel plan, coordinate with your veterinary clinic, prepare the details for the health certificate, track the USDA endorsement, send you reminders and invoices, answer your questions and keep the records our business is required to keep. We do not use your information for advertising, and we do not sell it.

Sharing

We share your information only as needed to deliver the service. Your veterinary clinic receives your pet's records so it can examine your pet and complete the certificate. USDA APHIS and the destination's government authorities receive what a permit, notification or endorsement requires. Your airline receives documents if it asks for them before your pet flies.

We also rely on service providers that process information on our behalf: Cloudflare hosts the site and stores orders, Google provides our email, and Stripe processes payments. Stripe collects your card details directly, and we never see your full card number. We may disclose information when the law requires it.

Storage and security

Orders are stored in Cloudflare's order storage, which encrypts data at rest, and in our business email. Only the two founders of Spot Check can open order records. If a security breach affects your information, we will notify you as the law requires.

Retention

We keep order records for two years after your travel date so that we can answer questions about your trip and meet tax and accounting obligations, and then we delete them. You can ask us to delete your records sooner, and we will, except for any part the law requires us to keep.

Your rights

You can ask to see the information we hold about you, to correct it or to delete it by emailing hello@spotcheck.pet from the address you used to order. We respond within 30 days. You can stop trip reminders at any time by telling us. Residents of California, the European Union, the United Kingdom and other places with privacy laws may have additional rights, and we honor them.

Children

Spot Check is intended for adults. We do not knowingly collect information from children under 13. If you believe a child has sent us information, contact us and we will delete it.

Changes to this policy

When we change this policy, we post the new version on this page with a new date. If a change affects how we use information we already hold, we email the customers concerned before it takes effect.
